Pitch N Hire + Mailchimp Integration

Yes. Pitch N Hire connects to Mailchimp so the candidates you did not hire stay reachable. Silver medallists, earlier applicants and people who opted in can be grouped into a Mailchimp audience and contacted through campaigns rather than individual recruiter email, provided they gave permission to hear from you about future openings.

Most hiring produces more good candidates than open roles, and almost all of them are never contacted again. This page covers how Pitch N Hire and Mailchimp are used together to keep that group in touch: what the connection is for, where consent sits, and why nurture is deliberately kept separate from recruiter correspondence.

What does the Mailchimp integration do for recruiters?

It gives your talent pool a way to hear from you between roles. Contacts who have agreed to future updates can be sent to a Mailchimp audience, where a campaign, a new-openings round-up, a hiring update, an invitation to re-apply, goes to the group at once. That is a different job from recruiter correspondence, which stays one-to-one on the candidate record inside the applicant tracking system. Keeping the two apart is deliberate: a campaign is broadcast, and a recruiter reply is a conversation.

Which candidates belong in a nurture audience?

The people you turned down for reasons of timing rather than ability: runners-up on a filled role, strong applicants for a job that was withdrawn, and anyone who asked to be told when something similar opens. What they have in common is that they are still interested and you have nothing to offer them today. The qualifying condition is consent. A candidate belongs in a marketing audience only where they have opted in to receive that kind of message.

Does adding a candidate to Mailchimp need their permission?

Yes, and it is worth being blunt about it: applying for a job is not the same as subscribing to marketing. A candidate should be added to a nurture audience only where they have chosen to receive future updates, and every campaign should carry an obvious way to stop receiving them. What consent looks like, and how it must be recorded, differs between countries and sometimes between states. Confirm the rules that apply to your team rather than assuming the ones you are used to.

How is this different from the Gmail or Outlook email sync?

Audience and intent. The mailbox connections carry correspondence: a recruiter writes to one candidate about one role, and the exchange attaches to that person's record. Mailchimp carries a broadcast: one message written once, sent to a segment of people who asked to hear from you, with subscription handled by the audience rather than by a recruiter. Teams usually run both, because a nurture campaign is not a substitute for a real reply and a real reply does not scale to a whole talent pool.

What should a nurture campaign to past candidates actually say?

Something they would have wanted anyway. Round-ups of newly opened roles, an occasional note on how the team is growing, or an invitation to refresh the details you hold so the next shortlist is accurate. What tends not to work is a general company newsletter sent to a group whose only relationship with you is a job application. Write to the reason they subscribed, keep the frequency modest, and make it easy to leave. An audience that trusts you is worth more than a large one.

How to set it up

  1. 1 In Pitch N Hire, open Settings and go to the Integrations section.
  2. 2 Find Mailchimp and start the connection, authorising with the Mailchimp account that owns the audience you want to use.
  3. 3 Choose the audience past candidates should be added to, and keep it separate from any general marketing list.
  4. 4 Send a test campaign to yourself, confirm the unsubscribe route works, and check that only opted-in contacts were included.

FAQ

Mailchimp integration β€” FAQs

Can I add every past applicant to a Mailchimp audience?
No, treat consent as the gate. Only candidates who have agreed to hear about future openings belong in a nurture audience, and applying for a role is not by itself that agreement. Ask for it explicitly, and keep an unsubscribe route in every campaign you send.
Does this replace the Gmail or Outlook integration?
No. Those handle correspondence between a recruiter and one candidate, attached to that candidate's record. Mailchimp handles one message going to a group of people who subscribed to hear from you. Most teams keep both, because they answer different questions and rest on different permissions.
What happens when someone unsubscribes?
They stop receiving campaigns. Treat that as a boundary on marketing rather than on hiring: unsubscribing from a nurture audience is not a request never to be contacted about a role they applied for, and it should not remove their candidate record from your pipeline.
Is Mailchimp available on my plan?
You will also need a Mailchimp account you can authorise with, since the audience lives there rather than in the applicant tracking system. Availability of specific integrations can depend on your plan, so check your account's integration settings to confirm what's enabled.
