Best Payroll Software in India

Payroll software turns attendance and salary structures into a pay run: it applies statutory deductions, produces payslips and leaves an auditable trail behind. In India it also has to survive mid-month joiners, arrears and rules that differ by state. These are the platforms Indian employers shortlist, grouped by who each one suits.

Payroll is unusual among HR purchases because it has a hard deadline every month and no tolerance for a wrong number. So judge it on the bad month rather than the good one: a joiner arriving on the fourteenth with earnings from a previous employer, a resignation with unused leave to settle, a correction discovered after the run has closed. A platform that absorbs those quietly is worth more than one with a longer feature list.

How this list was put together

This page is published by Pitch N Hire, which sells an applicant tracking system and therefore competes with the products below. So it is not a ranking: there is no score, no rating and no number one. Options are grouped by who they suit, drawn from our own product comparisons, and each links to the full comparison so you can read the trade-offs rather than take a verdict on trust. Pricing changes constantly and is usually negotiated, so none is quoted here — get a written quote for your seat count.

What to evaluate before you shortlist

Deciding the criteria before you look at vendors is what stops a demo deciding for you.

1.Who actually runs the cycle — your team, or the vendor's?

Some products are software you operate; others are a managed service where a named team processes the run and you approve it. Both are legitimate and they cost and fail differently. Establish which you are buying on the first call, because a lean finance team that assumed a service will discover the difference in its first month-end.

2.What happens when a number is wrong after the run closes?

This is the question that separates products. Ask to see an off-cycle correction, an arrears adjustment carried into the next month, and a reissued payslip. Then ask what the audit trail shows afterwards. Corrections are routine, so a system that treats them as an exception will make every one of them a manual workaround.

3.Does it read attendance and leave without re-keying?

Loss of pay, overtime, shift allowances and unpaid leave all originate outside the pay run and have to arrive in it accurately. If the connection is a monthly spreadsheet upload, that upload is now your single point of failure. Trace one employee's shift from the roster to the payslip during evaluation and see how many hands it passes through.

4.What does it produce for statutory filing, and who signs it off?

Indian pay cycles involve items such as PF, ESI, TDS, professional tax and gratuity. Distinguish clearly between what the platform calculates, what it generates a return or challan for, and what a person still submits. Thresholds, rates and due dates change and differ by state, so confirm the current position with a qualified payroll or tax advisor rather than a vendor datasheet.

FAQ

Best Payroll Software in India — FAQs

What does payroll software actually do? +
It takes salary structures, attendance and any one-off inputs, applies the deductions and contributions that apply to each employee, and produces net pay, payslips, a bank transfer file and the reports finance needs afterwards. The valuable part is not the arithmetic, which is simple, but doing it identically every month with a record of who changed what.
What statutory items does an Indian pay run have to handle? +
Commonly PF, ESI, TDS, professional tax, gratuity and bonus, with applicability depending on headcount, wage levels, state and the individual employee. Any of these can change. Treat a vendor's configuration as a starting point, not authority, and confirm the current rules, thresholds and due dates that apply to you with a qualified payroll or tax advisor.
Should payroll and HR live in the same system? +
Together, changes to a person flow straight into pay, which removes the most common source of errors: someone updated in one place and not the other. Separately, you get more freedom to choose the best product for each job and to change one without disturbing the other. If the two are separate, the integration matters more than either product's feature list.
Can payroll software handle contractors as well as employees? +
Many platforms process both, but the treatment differs — deductions, documentation and reporting are not the same as for employees. Ask specifically what the product does for each population rather than assuming one covers the other. Whether a given person is correctly classified is a legal question about the working relationship, so take professional advice on that rather than following a software setting.
What does payroll software cost in India? +
Pricing is normally per employee per month, sometimes with a platform fee, and managed-service processing costs more than software you run yourself. Implementation, historical data migration and parallel runs are frequently quoted separately. Because published pricing moves and is regularly negotiated on annual terms, get a written quote for your real headcount and ask what changes as headcount grows.
