Panel Interview Agenda Template
A panel interview agenda is a timetable for an interview day with more than one interviewer: it sets the slot and sequence for each round, who covers which area, the room or video link, breaks and buffers between rounds, and a debrief window at the end. Use it to stop panellists asking overlapping questions and to keep the day running on time.

Build this agenda whenever more than one person interviews a candidate on the same day, whether that is three back-to-back video calls or a full onsite loop. It is a schedule and an ownership grid, not a set of interview questions - pair it with your structured interview guide or scorecard for what each interviewer actually asks.
Day overview
Candidate: [CANDIDATE NAME] Role: [JOB TITLE]
Date: [DATE] Overall window: [START TIME] to [END TIME]
Format: [ALL VIDEO / ALL ONSITE / MIXED]
Scribe for the day: [NAME] - collects notes from every slot and circulates them before the debrief
Slot-by-slot schedule
Slot 1: [START-END TIME] - Interviewer: [NAME] - Area covered: [e.g. ROLE-SPECIFIC SKILLS] - Room or link: [ROOM NUMBER OR VIDEO LINK]
Slot 2: [START-END TIME] - Interviewer: [NAME] - Area covered: [e.g. COLLABORATION AND STAKEHOLDER MANAGEMENT] - Room or link: [ROOM NUMBER OR VIDEO LINK]
Buffer: [START-END TIME] between slots 1 and 2 for handover and to absorb any delay
Slot 3: [START-END TIME] - Interviewer: [NAME] - Area covered: [e.g. TEAM AND CULTURE FIT] - Room or link: [ROOM NUMBER OR VIDEO LINK]
Break: [START-END TIME] - candidate break, ideally away from any interviewer
Slot 4, if applicable: [START-END TIME] - Interviewer: [NAME] - Area covered: [e.g. LEADERSHIP OR FINAL ROUND] - Room or link: [ROOM NUMBER OR VIDEO LINK]
Area ownership, avoid duplicate questions
[NAME] owns: [AREA, e.g. TECHNICAL DEPTH] - will not ask about: [AREAS OWNED BY OTHERS]
[NAME] owns: [AREA, e.g. COMMUNICATION AND STAKEHOLDER WORK]
[NAME] owns: [AREA, e.g. CULTURE AND TEAM FIT]
Before the day starts, each interviewer confirms their area in writing so no two people plan the same question.
Handover between interviewers
Each interviewer sends a one-line note to the next interviewer at the end of their slot: what was covered, and anything worth probing further.
Do not repeat a question that has already been asked and answered - use the handover note to check first.
If a slot runs over, the scribe adjusts the buffer for the next slot rather than cutting the candidate's break.
Whoever runs the final slot confirms next steps and timing with the candidate before they leave or log off.
Debrief window
Debrief window: [TIME] - book this on the calendar before the interview day, not after.
Every interviewer submits their notes or scorecard before the debrief starts, not during it.
Go slot by slot, area by area, and flag any disagreement to discuss rather than average away.
Scribe records the panel's overall recommendation and next step at the end of the debrief.

How to use this template
- Fill in the slot times, interviewers and rooms or links first, then assign one area to each interviewer so nothing is covered twice.
- Send the completed agenda to every panellist and the candidate ahead of the day, with any links or addresses confirmed.
- Build in a buffer between slots and a real break for the candidate, not just back-to-back interviews with no gap.
- Ask each interviewer to send a short handover note to the next one, covering what they already asked.
- Book the debrief window on the calendar in advance so the panel meets while the day is still fresh.
