Candidate Status Update Email Template

A candidate status update email tells someone still in your pipeline where things stand, even when there is no decision yet. Send it whenever a process runs longer than promised, so candidates hear from you before they assume the worst. How to use this template

  1. Send a status update the moment a promised decision date slips, instead of waiting for the candidate to ask first.
  2. State plainly that no decision has been made - do not hint at an outcome you have not actually reached.
  3. Give the real, high-level reason for the delay so the candidate is not left guessing why the process stalled.
  4. Commit to a new date or timeframe for your next update, and only promise what you can actually keep.
  5. If the role is genuinely paused rather than delayed, say so directly instead of implying it is still moving at normal speed.

Tips

A status update is not a consolation prize for silence - send it proactively, before a candidate has to chase you. Keep the tone matter-of-fact rather than apologetic; a delay is normal process, not something to over-apologise for. If a role gets paused indefinitely, tell candidates that too rather than leaving them in an update loop that never resolves. Track who you owe an update to and by when, so a promised follow-up date does not quietly slip a second time. Never use status-update language to soften what is actually a no - if the decision is made, send the rejection template instead.

Is a status update email the same as a rejection?
No. A status update tells a candidate that no decision has been made yet and gives an honest reason for the wait. It should never be used to soften an actual no - once a decision is final, send a clear rejection instead so the candidate is not left with false hope.
When should I send a candidate a status update?
As soon as a decision you promised is going to be late, or when a process is genuinely taking longer than expected. Sending it proactively, before the candidate has to ask, is what makes the message land as considerate rather than defensive.
What if the role has been put on hold indefinitely?
Say so plainly rather than sending vague updates that imply progress is still happening. Tell the candidate the pipeline is paused, give the real reason if you can share it, and set expectations for whether or when you expect to revisit the role.
How often should I update a candidate who is still in process?
Only when there is something real to say - a new timeframe, a genuine change, or a milestone reached. Sending an update purely to check a box without new information can feel more hollow than a single honest note with a clear next date.
