Paralegal Job Description

A Paralegal carries out substantive legal support work under the supervision of a qualified lawyer, handling the drafting from templates, document and evidence management, filings, records, and research that keep matters moving. The role is defined by throughput and accuracy: bundles that are complete, deadlines that are diarised and met, contracts administered rather than lost, and files a supervising lawyer can pick up without reconstruction. What a paralegal may lawfully do, whether the title is regulated or licensed, what level of supervision is required, and whether any limited practice rights exist all differ substantially by country and often by state or province, and these rules change. In many jurisdictions a paralegal may not give legal advice or represent a client. Confirm the position with qualified local advice before defining the scope of the role.

Key skills

Drafting from approved templates and precedents with precisionDocument management, version control, and bundle or exhibit preparationDiary and deadline management across multiple concurrent mattersLegal and factual research to a brief, with sources recordedFiling and submission processes relevant to your jurisdiction and matter typesContract administration, execution logistics, and signature workflowsEntity, register, and case record maintenanceClear written summaries that a supervising lawyer can rely on

Responsibilities

  • Prepare first drafts of routine documents from approved templates for review by a supervising lawyer
  • Manage matter files so every version, approval, and executed copy is where it should be
  • Track deadlines, limitation dates, and filing windows, and escalate anything at risk
  • Compile bundles, exhibits, schedules, and disclosure sets accurately and on time
  • Carry out research to a defined brief and summarise findings with sources cited
  • Administer the contract process end to end, including circulation, execution, and storage
  • Maintain registers, entity records, and case management data so reporting is accurate
  • Liaise with internal teams, external firms, and third parties on the progress of matters, within the boundaries of the role

Requirements

  • Experience in a legal support role with responsibility for documents, deadlines, and records
  • Exceptional accuracy, since a wrong date or a missing exhibit has consequences a spellcheck will not catch
  • Ability to work to a brief and flag ambiguity rather than filling gaps with assumptions
  • Strong organisation across multiple matters with competing deadlines
  • Discretion and confidentiality, including a clear understanding of what may not be shared
  • Understanding of the limits of the role, which differ by jurisdiction, and a firm habit of routing anything requiring legal advice to a qualified lawyer

Nice to have

  • A paralegal qualification, certificate, or licence where one exists and is recognised in your jurisdiction
  • Experience in your specific matter types, such as commercial, property, employment, or litigation support
  • Case or contract management system experience
  • Experience with a document-heavy transaction or disclosure exercise
  • Familiarity with the filing portals and procedural rules used in your jurisdiction

What to look for in a great Paralegal

Accuracy under volume is the whole proposition, so test it rather than asking about it. A short proofreading or bundle-checking exercise reveals more in fifteen minutes than an hour of competency questions. Look for candidates who describe their own system for tracking deadlines, because the ones who rely purely on a supervisor's reminders eventually miss something. The other quality worth probing hard is knowing where the line sits: a strong paralegal will tell you plainly when a question needs a qualified lawyer and will not improvise an answer to be helpful. Reliability, in this role, is a higher-order skill than ambition.

Where to source Paralegal candidates

Law firm support teams are the deepest pool and bring procedural discipline. Law graduates seeking experience apply in volume and can be excellent, though they may treat the role as a stepping stone, so be honest about progression and expect turnover. Legal administrators and contract administrators with strong process habits convert well, particularly for in-house work that is contract-heavy rather than litigation-heavy. Where your jurisdiction operates a recognised paralegal qualification or licence, its awarding body and alumni networks are a targeted source worth using.

Interview questions to ask a Paralegal

Ask 'How do you track deadlines across ten live matters, and what happens when two collide?' Then test the boundary directly: 'A colleague asks whether they can terminate a contract early. What do you say?' The right answer routes it to a lawyer rather than offering a view. Probe accuracy with 'Tell me about a document error you caught, and one you missed.' Finally, test practical judgement: 'You are compiling a bundle and a document is missing with hours to go. Walk me through what you actually do.'

Red flags when hiring a Paralegal

The most serious warning sign is a candidate comfortable offering legal opinions to colleagues, because in many jurisdictions that is outside what the role permits and it creates exposure for the organisation. Be cautious with people who cannot describe their own tracking method, since supervision does not scale as matter volume grows. Casual attitudes to confidentiality are disqualifying. Watch for candidates who resent routine work in a role that is substantially routine, as motivation will not survive the third month. Finally, treat errors described without ownership as a signal about how the next one will be handled.

How an ATS speeds up hiring a Paralegal

Paralegal roles attract high application volumes, and reading every CV closely is not realistic. Pitch N Hire's ATS filters on the attributes that actually predict success, such as matter type experience, system familiarity, and eligibility for the role in your jurisdiction, so the shortlist is built from evidence rather than from whoever applied first. Attach a short accuracy exercise to a pipeline stage and every candidate takes the same test under the same conditions, which is far more informative than an interview alone. Because volume hiring here is recurring, an organised pool of previously assessed candidates makes the next opening much faster to fill.

FAQ

Hiring a Paralegal — FAQs

What does a Paralegal do? +
A Paralegal performs substantive legal support work under the supervision of a qualified lawyer. Typical duties include drafting routine documents from approved templates, managing matter files and version control, tracking deadlines and filing windows, compiling bundles and disclosure sets, carrying out research to a defined brief, administering contracts through execution and storage, and maintaining registers and case records. The precise scope depends on the jurisdiction and on the supervising lawyer.
Can a Paralegal give legal advice? +
In many jurisdictions, no. Who may give legal advice or hold themselves out as doing so is regulated, and a paralegal who is not a qualified lawyer typically may not, even when they know the answer. Some jurisdictions operate licensing or limited practice schemes that permit defined activities, and the rules differ by country and often by state or province and change over time. Confirm the current position with qualified local advice and set the role's boundaries explicitly in writing.
What is the difference between a Paralegal and a Legal Counsel? +
A Legal Counsel is a qualified lawyer who advises the organisation, exercises legal judgement, and takes positions on risk. A Paralegal supports that work by preparing documents, managing files and deadlines, researching to a brief, and administering processes, generally under supervision and without giving advice. The distinction is not seniority alone but what each is permitted to do, and that permission is set by the rules of the jurisdiction rather than by the employer.
What qualifications does a Paralegal need? +
This varies more than almost any other role in this category. Some jurisdictions have formal paralegal qualifications, licences, or registration schemes, others have voluntary certifications, and in some the title is unregulated and defined entirely by the employer. Because the answer determines what the postholder may lawfully do, check the current requirement locally before specifying qualifications in a job advert, rather than copying wording from another country.
Should an in-house legal team hire a Paralegal or another lawyer? +
It depends on what is actually consuming the team's time. If the backlog is routine document production, contract administration, records, and deadline management, a paralegal will clear far more of it per pound spent. If the backlog is judgement, negotiation, and advice that only a qualified lawyer may give, another lawyer is the answer. Many teams find that adding paralegal capacity first releases significant lawyer time, but the split of work must respect what each is permitted to do locally.
