An Office Administrator handles the routine administration a workplace runs on: records and filing, incoming post and couriers, supplies, meeting room and travel bookings, visitor sign-in, and the paperwork that flows to finance and HR. It is process work rather than project work, and it is judged on reliability. The difference between an average and an excellent administrator shows up in small things done consistently, such as records filed the same way every time, so that anyone can find a document a year later without asking.
Administrator postings attract very high application numbers, and most are close enough on paper that resume reading alone will not separate them. Decide your non-negotiables before the advert goes live, usually availability for your core office hours, commuting distance, notice period, and one or two system skills, then filter on those first. Resist ranking by years of experience, which predicts little here. A five-minute structured phone screen with the same three questions for everyone will tell you more about reliability and communication than another hour spent comparing documents.
The work is practical, so assess it practically. Give a twenty-minute exercise: enter a short list of records into a spreadsheet accurately, draft a polite email declining a supplier request, and file three sample documents into a simple structure while explaining the logic. Accuracy on the data entry and tone in the email are the two strongest predictors of how someone will perform in the role. Score every candidate on the same rubric. This test also filters efficiently at volume, because performance differences are visible immediately.
Local hiring works best, since a short commute correlates strongly with reliable daily attendance. Retail, hospitality, and customer service backgrounds transfer well because those candidates are already accustomed to routine, punctuality, and dealing with people directly. Community job boards, local colleges, and returners to work are productive channels. Temporary staffing agencies are useful when you need immediate cover and want to assess someone in the actual job before making a permanent offer, which for this role is often the most accurate assessment available.
Careless errors in the application itself matter here in a way they would not for other roles, because accuracy is the core requirement. Be cautious with candidates who describe administration as a stopgap while they look for something else, since turnover in this seat is disruptive and expensive. Watch for anyone who cannot give an example of following a process they disagreed with, or who dismisses routine work as boring, and take unexplained short tenures seriously enough to ask about them directly rather than assuming the worst.
This is exactly the role where an applicant tracking system earns its place. Pitch N Hire lets you set knockout questions on availability, location, and notice period so a very large application pool becomes a workable shortlist without anyone reading every resume line by line. You can send the same practical exercise to everyone at the same stage and keep the scores side by side. Because these vacancies recur, the pipeline also becomes a talent pool: strong applicants you could not hire this time are already there when the next administrative opening appears, which cuts the next time to hire considerably.
Pitch N Hire is an applicant tracking system. Publish this role to your careers page and job boards, then follow every applicant through screening, interviews, and offer without a spreadsheet.
