What does onboarding mean in an HRMS?

Onboarding is the stretch between an accepted offer and the point where a new joiner is set up, working and through probation. HR sees who is behind on documents, whose verification is still open, and which assets remain unallocated. The joiner sees only their own steps, and managers see only theirs. How does a candidate become an employee without re-entering data?

When an offer is marked accepted in the applicant tracking system, the candidate record converts into a pre-joiner profile. Name, contact details, role, department, reporting manager, location, agreed compensation and the joining date all carry across, along with the documents already collected during hiring. Nobody retypes them, so the spelling on the payslip matches the spelling on the offer letter, and the recruiter's notes stay attached to the person rather than being lost at the handover. From that moment the record is governed by HRMS permissions instead of recruiting ones: the hiring team keeps read access to what it created, while HR owns the fields that will later drive payroll and statutory reporting. If the joining date changes, the pre-joiner profile is edited once and every dependent onboarding task reschedules against the new date.

What documents does Pitch N Hire collect before the joining date?

Document requests go out as soon as the pre-joiner profile exists, so paperwork is not competing with induction on the first morning. HR configures the checklist per country, entity or job family: identity proof, address proof, education certificates, previous employment letters, bank details, tax declarations and whatever else the entity needs. Each item has its own status, owner and, where relevant, an expiry date, so a work permit is tracked as a live document rather than as a one-time upload. The joiner uploads from a link that needs no licence, sees exactly which items are outstanding, and gets reminders on the schedule you set. HR reviews and accepts or rejects with a reason attached. How is background and document verification status tracked?

Verification is recorded as a set of individual checks rather than as a single pass-or-fail flag, because they rarely complete together. Identity, address, education, previous employment and any role-specific check each carry their own state: not started, in progress, cleared, or flagged with a note. How do asset and system access requests reach IT and admin?

Equipment and access are onboarding tasks with named owners, not a message to a shared inbox. What does the day-one checklist assign to buddies and managers?

The first day is a checklist split across the people who actually own it. The reporting manager gets the introductions, the first-week plan and the goals conversation. The assigned buddy gets the informal items: the tour, the team lunch, being the person who answers the questions nobody wants to ask HR. HR gets the induction session, the policy acknowledgements and confirmation that payroll setup is complete. IT gets the machine handover and the login walkthrough. Each person sees a short list in their own dashboard rather than the full plan, so nothing important is buried in somebody else's steps. Overdue items surface to HR before the joiner notices they were missed. Because tasks are anchored to the joining date, a delayed start moves the whole sequence without anyone rebuilding it, and a cancelled joining archives the plan intact.

How do new joiners complete their own onboarding steps?

How does the onboarding process carry into probation tracking?

Probation is treated as the tail of onboarding rather than as a separate exercise. Each checkpoint is a task on the manager with a form attached, so what was discussed is captured rather than remembered. Before the end date, HR is prompted to record an outcome: confirmed, extended with a new end date, or ended. That decision writes to the employee record and, where it changes pay or entitlements, hands the change to payroll with an effective date. Confirmed employees then join the normal appraisal calendar described on performance reviews.
