Probation Extension Letter Template
A probation extension letter tells an employee that their probationary period is being extended by a further, defined period instead of ending in confirmation or termination, because specific expectations have not yet been met. Employers use it to set out exactly what fell short, what improvement looks like, and when a final decision will be made.

- Name the specific, observable gaps from the performance review rather than a vague sense that things aren't working.
- Set a fixed extension length and new end date so the employee knows exactly when the next decision will be made.
- Turn each gap into a measurable expectation the employee can actually aim at during the extension.
- Agree on real support, such as training or a mentor, and name it in the letter rather than leaving it as a vague gesture.
