How to use this template

  1. Confirm the internship dates, weekly hours and stipend or unpaid status with the hiring manager before you draft the letter.
  2. Fill in the mentor's name and the specific learning objectives so the intern knows what they will work on and who supports them.
  3. Check whether the intern's college or university needs a signed placement form, and attach it if so.
  4. Send the letter with enough lead time for the intern to arrange travel, housing or academic sign-off before the start date.
  5. Keep the signed copy on file and note the certificate you owe at the end of the placement.

Tips

Spell out whether the internship is paid, unpaid or stipend-based - vague wording here creates disputes later. Assign one named mentor rather than 'the team' so the intern has someone accountable for their day-to-day guidance. Write learning objectives specific enough to grade against at the midpoint and the end of the placement. If a college requires proof of hours or a supervisor sign-off, ask for the exact form early so you are not scrambling near the deadline. Have someone familiar with internship and stipend classification rules in your jurisdiction review this letter before you send it, since those rules vary widely by location.
